Administrative Assistant – Logistics

 

JOB SUMMARY

 

Responsible for the preparation of Purchase Orders to our US suppliers and follow up daily until order has been shipped from the supplier.

 

MAIN RESPONSIBILITIES

  • Prepare orders and send to US suppliers

  • Follow-up to ensure order confirmation has been received

  • Follow up for receipt of e – proof and send necessary approvals

  • Send payment details based on order confirmation

  • Follow-up to ensure that requested ship dates are met

  • Follow up with supplier until goods are shipped and received by the appropriate forwarder in Miami

  • Document all Warehouse receipts numbers received by PAS

  • Prepare ocean consolidations’ instructions

  • Follow Up on all shipments to Trinidad via PO Box

  • Handle brokerage and clearance of shipments

  • Any other duties that may be assigned to you by the Logistics Manager or his/her designate

 

REQUIREMENTS

  • Secondary school education including the attainment of ‘O’ and/or ‘A’ levels or equivalent in English Language and Mathematics is required

  • Diploma in Business Administration or a Management related field is required

  • Strong ability to communicate written and verbally is required

  • Strong mathematical and/or analytical skills is required

  • Minimum of three years’ administrative support experience is required

  • Proficient in Microsoft Outlook, Word, Excel, PowerPoint is required

 

ADDITIONAL ASSETS

  • Bachelor’s in Business Management is preferred

  • Logistics and/or shipping experience would be an asset
